What You’ll Do

You will be the operational backbone of our business—ensuring systems, processes, and client interactions run smoothly. Your key responsibilities will include:

  • Website & Digital Maintenance
     • Keep our website up-to-date (content updates, new pages, images, links, plugin upgrades, bug fixes)
     • Coordinate with vendors or developers if technical issues arise
     • Ensure site performance, monitor uptime, backups, and security checks
  • Compliance, Contracts & Financial Ops
     • Prepare, manage, and store client agreements / NDAs / contracts
     • Issue invoices, track payments, and perform reconciliation
     • Maintain accurate client records, databases, and documentation
     • Help with billing cycles, reminders, follow-ups, and escalations
  • Research / Report Repository Management
     • Monitor for new Initiating Coverage / similar reports from firms or analysts
     • Download, catalogue, and maintain a repository (with metadata, tags, versioning)
     • Ensure accessibility, version control, and archival of older reports
  • Marketing / Campaign Ops (Mailchimp / Email tools)
     • Manage and operate Mailchimp (or equivalent email-marketing platform)
     • Design, schedule, and dispatch marketing / newsletter campaigns
     • Monitor open, click, bounce metrics; maintain and segment mailing lists
     • Clean lists, manage unsubscribes, ensure compliance with email laws / opt-in rules
  • General Operational Tasks
     • Support ad hoc admin or operations work relevant to our business
     • Streamline and document internal workflows, Standard Operating Procedures (SOPs)
     • Coordinate with other teams (research, sales, tech) to ensure smooth handoffs
     • Generate periodic status reports, dashboards or trackers for management

What We’re Looking For
  • 0 to 1 years of experience in an operations / administrative / business support role
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks
  • Good verbal & written communication skills
  • Basic comfort with web tools, CMS (WordPress or similar), email marketing tools like Mailchimp
  • Basic understanding of invoicing, record keeping, and reconciliation
  • Ability to work independently, take ownership, and push tasks to closure
  • Familiarity with version control, digital file organization, and repository management
  • Analytical mindset: you spot issues, suggest improvements
  • Sense of urgency and reliability
  • (Bonus) Experience working in fintech, research, publishing, or knowledge services.
